Big Changes Underway as NetSuite Goes Live

Monday, February 3 (9:00 a.m.): Rossmoor is moving forward with a major technology upgrade, switching to a new software system called NetSuite to better manage finances, customer information, and day-to-day operations. While the change brings improvements, it’s also a complicated multi-phase rollout that will take time to complete.

What’s happening now

  • Customer coupon invoices have been successfully processed for January and new customers are being added.
  • A new system for paying vendor bills has been set up and is being implemented.
  • Daily planned training sessions are ongoing to help employees get comfortable with the new system.

What’s next

  • A new field service management system (FSM) for landscaping and building maintenance is planned to go live in the second quarter. Until then, NetSuite and Jenark will run parallel for customer data and inventory to maintain our work order system.
  • The addition of the financial planning and analysis functionality will follow FSM with a planned go live of July 1 in time for the 2026 budget preparation.
  • All departments will continue moving functions to NetSuite over the next few weeks, including Purchasing and Public Safety.

Challenges and ongoing work

  • Entering customer information has created some difficulties, especially for customers with multiple properties, and unfortunately delayed the direct debit for the January coupon.
  • Staff are reviewing and improving business processes as we roll out new functionality.

Despite the challenges, the company remains focused on making this important transition a success, with teams working hard to ensure everything runs smoothly.
